Business Administrator Job Spec

Location: Leicester City Centre

It is often said a good CEO will ask the receptionist how a client, candidate or employee treats them when they’re not around.

If you’ve ever been an administrator, you’ll know exactly what we’re talking about. Qualifications may get you through the door, but character gets the job. We couldn’t agree more!!

It is in this spirit that we are looking to appoint an enthusiastic, experienced Administrator on either a full-time OR part-time permanent basis as part of a job share.

The Role

The successful candidate will be responsible for:

  •   Taking, screening & directing calls to team members. Record missed calls / pass on messages
  •   Scheduling client & candidate meetings (face-2-face, telephone, video call), meet & greet
  •   Updating database of client contacts & candidate profiles on a daily basis
  •   Adding prospective leads / new client company details to database
  •   Registering new candidate applications & follow-up communications (incl. ensuring REC compliance / GDPR consent procedures are followed)
  •   Importing, formatting & updating candidate CVs / job search preferences
  •   Linking candidate applications to live vacancies
  •   Assisting consultants with arranging candidate interviews / taking feedback
  •   Requesting, chasing up & processing temporary worker identification documents, BACS & HMRC details, employee references etc prior to start of assignment
  •   Chasing & collating weekly timesheets for payroll
  •   Completing daily, weekly, monthly & quarterly audits (incl. posting / removing online job advertisements, running inactive candidate mailers / txt campaigns, stationary checks & ordering)
  •   Dealing with incoming / outbound post
  •   Adhoc scanning / photocopying & archiving of files
  •   Assisting consultants / accounts dept with related ad-hoc duties as required


The Right Person

The ideal candidate should possess the following: 

  •   We’re open minded on sector experience, but are especially keen to hear from people with a background in recruitment, legal or professional services
  •   2-years+ experience in an all-round administrative role
  •   Minimum of 5x GCSE’s incl. English & Maths at grade A* to C, or equivalent
  •   Confident with excellent communication skills (verbal & written), motivated to provide a first-class service for clients & candidates
  •   A positive mental attitude, persistent & tenacious
  •   We actively encourage candidates to bring new ideas to the table
  •   Good organisational & time management skills
  •   Be technically savvy… proficient with MS Office (incl. Word, Excel & Outlook), phone & CRM systems
