Summary of the Role
Our client based in Leicester is seeking an experienced Document Controller on a full-time permanent basis. The successful candidate will be responsible for providing support to their project teams, ensuring project design information, documentation / forms, snagging & defects are effectively captured and stored for ease of retrieval by site teams. Key duties include – but are not limited to:
- Support the design team, ensuring all design information is maintained in a methodical manner, issued within set time scales,
- Ensure company / project information management procedures are followed,
- Act as communication liaison for the design / site teams, including key documentation & handover information,
- Build effective working relationships with all members of the site team, up to and including Director level,
- Support the Viewpoint Champion for the project team,
- Support the relevant Teams with the workflow process, RDD, RFI, change control and linking information to virtual containers within our CDE,
- Manage the CDE i.e. creating internal / external document containers with CDE template or inviting and revoking internal and external users,
- Manage registers and audit site records regularly to ensure compliance with our BMS processes and procedures,
- Generate & issue reports to internal/external parties when required,
- Support / Manage Field View for the project teams with uploading and calibrating drawings, inviting members, package creation, creating form distribution and on-going best practice management of the data with regular audits / reporting.
The Right Person
- Relevant degree and/or experience of working in information management or related field, with a willingness to undertake relevant professional qualifications,
- Experience using Viewpoint for Projects / Viewpoint Field View is essential, as well as MS Office (Word, Excel, PowerPoint). Aptitude to learn new software and technology tools quickly,
- Knowledge and/or experience of the Document Control Process at operational level,
- Aware of Health & Safety responsibilities, able to adhere to company H&S policies and procedures,
- Excellent written & verbal communication skills, with the ability to work and communicate with all members of the site team and the wider team,
- A highly organised approach to work, excellent attention to detail & commitment to accuracy,
- The ability to effectively and proactively co-ordinate multiple activities under pressure,
- The ability to prioritise workloads to meet deadlines.
